Our team works around your schedule to meet deadlines specific to each and every bid. We are available for questions pertaining to your project 24 hours a day, 7 days a week. For all other inquiries, we are available Monday through Friday between 8:00 AM and 7:00 PM Eastern Time.
After a complimentary consultation call where we gauge the scope of services required, The Bid Lab provides you with an estimate tailored to the specific bid and your business. The Bid Lab offers both a flat hourly fee, as well as our preferred discounted hourly fee plus a commission on won business.
We also realize that every business has unique needs, which is why we've recently rolled out an a la carte option, as opposed to our all-inclusive service offering, that provides more flexibility for specific aspects of the RFP process. For instance, if you're overburdened with other work and would just like someone to conduct a compliance check or to edit and proof your documents, The Bid Lab can be the partner you never knew you needed.
We're glad you asked! The Bid Lab requires a signed service agreement and an initial 10-hour invoice be paid before work commences. By doing so, The Bid Lab's experts are able to start working on creating the documentation for your bid before we even have our first kickoff call.
Our writers work around your schedule, not the other way around. If you need to meet a tight deadline, we're here to help. We even promise to be calm, cool and collected when the pressure is on!
For emergency inquiries, contact us at 1-844-424-3522. As part of our services, we are happy to work around our clients by offering emergency pricing options for bids with less than three (3) days before the deadline.
The Bid Lab works with small to medium-sized businesses to navigate the complexities of responding to RFPs. We work as an extension of your team and serve as your RFP Subject Matter Expert (SME). To this end, your team will learn about the process of submitting bids, and find relief in the tools we provide to make bid writing easier in the future.
Given the unique needs of your business, we have developed our services to be all-inclusive as well as flexible with a la carte pricing options. This flexibility allows us to take over for clients who are overburdened with other work and also to supplement expertise for clients who solely need assistance with shell document creation. We break down how outsourcing can benefit your company in "Hiring an RFP Writer, Is It Worth It?"
The Bid Lab will not assist two (2) competing firms on a singular RFP. We will also not respond to RFPs that were issued by another client as part of our Bid Builder service.
We work on a first-come-first-serve basis to protect the privacy and confidentiality of our clients. If you are partnering with another firm, we will absolutely help you both submit a response. We cannot, however, help two (2) different firms submit two (2) different responses to the same bid. Schedule a free consultation with us to discuss details of your partner agency agreement, and how we can assist with your bid.
Absolutely. The Bid Lab specializes in working with small and medium-sized businesses, which means many of our clients are completing their first RFP with us! We'll walk you through the process from start to finish, guiding you every step of the way. No RFP in hand? No sweat. We can also help you identify the types of opportunities that you are best placed to win.
The Bid Lab has an overall success rate of over 40% with many of our clients having success rates as high as 100%. When you're completing RFPs, there is much more to it than creating content and designing a proposal. A client company’s financial status, references, reputation, history, age, and even status as a minority-owned business, greatly affect the outcome of a bid.
At The Bid Lab, we’re all about transparency. Helping small and medium-sized businesses bid on millions of dollars worth of opportunities means that we can’t win them all! But, it does mean that we put our best foot forward every single time.

The Bid Lab is a remote-by-design company. With team members located all over the continental U.S., we serve our clients by collaborating across time zones, which means we can effectively do any job without setting foot in your office. That said, The Bid Lab does provide in-person resources on a case-by-case basis depending upon project size and location. Please contact us at 1-844-424-3522 for more information.
Yes, 100%. One of the many value-adds of working with The Bid Lab is that even after submission, we will be the organized content guru you never had! All of the documentation that we create on your behalf is accessible to your team for future RFP, and non-RFP, use.
As Bid Managers and Bid Builders, we aim to do as much of the work for you as humanly possible. This includes everything from finding the perfect bid to match your business strategy to writing a fully compliant and compelling response, and everything in between (and after!).
That said, RFPs by nature do require very specific information pertaining to that project. Sometimes, they even request confidential financial information that no one except your internal team has access to. So, in short, yes, as Subject Matter Experts (SMEs) in your industry and of your company, RFPs will require your input and expertise. But, working with Bid Managers at The Bid Lab will ensure that any input required from you is as minimal and as organized as possible. And with each successive bid, our account and project managers learn more about your business, which means we can build out a design and content database to store responses from your team that minimizes the amount of input needed as time goes on.
Definitely! The Bid Lab will take any existing collateral that you have and repurpose the content for the RFP in scope. In fact, after your first bid, our bid management team will leverage that first RFP response for each subsequent bid to streamline our management process. This reduces the overall time required to respond to each RFP; for many of our clients, an initial RFP took nearly forty (40) hours, whereas subsequent bids take less than twenty (20) hours.
The caveat is, in order to write winning bids, responses must be crafted directly in response to that client and their project’s scope of work. So, while your existing marketing content is great to help fill in many of the blanks, it is not a replacement for writing original RFP content. We also do not suggest filling in blanks by “copying and pasting” previously submitted bid responses. The Bid Lab takes the time to individualize each response, while utilizing existing information to meet that specific client’s need.
Our team of Bid Finders utilize databases at industry, state, and local levels to find RFPs that match our clients’ needs. We use human intelligence to first identify a client’s unique parameters, then scour those databases to source and match bid opportunities. Many of our competitors utilize A.I. technology to help source RFPs for clients. While this technology is quick to return RFPs and minimize their costs in finding you bids, it produces a high quantity with less of a focus on quality.
Our goal is to only present you with the most quality, qualified opportunities. To do this, we seek out the best matches based on your bid responses and Bid Finder profile, also drawing on the expertise of our client management team. Did we mention that Bid Finder is complimentary to all Bid Manager clients? Winning!
