Our team works around your schedule to meet the deadlines for each and every bid. We are available to answer questions about your project 24 hours a day, seven days a week. For all other inquiries, we are available Monday through Friday between 8:00 AM and 7:00 PM Eastern Time.
After a complimentary consultation call to gauge the scope of services required, The Bid Lab provides you with a flat-rate hourly estimate tailored to the specific bid and your business.
We also recognize that every business has unique needs, which is why we've rolled out standalone service options that cover specific aspects of the RFP process. For instance, if you're overburdened with other work and would just like someone to conduct a quick compliance check, then The Bid Lab can be the partner that's there when you need us— and only when you need us.
We're glad you asked! The Bid Lab requires a signed service agreement and payment of an initial ten-hour invoice before work commences. By doing so, The Bid Lab's experts can start creating the documentation for your bid before our first kick-off call.
Our writers work on your schedule, not the other way around. If you need to meet a tight deadline, we're here to help. We even promise to be calm, cool and collected when the pressure is on!
As part of our services, we are happy to work with our clients by offering emergency pricing for bids with less than three days before the deadline. For emergency inquiries, contact us at 1-844-424-3522.
The Bid Lab works with small to medium-sized businesses to navigate the complexities of responding to solicitations. We work as an extension of your team and serve as your RFP Subject Matter Experts (SMEs)!
We have developed all-inclusive services, such as our Bid Manager and Bid Builder packages, to simplify the entire bid development and submission process.
Given that each organization has unique needs, we can also provide flexible, on-demand solutions. These standalone services are readily available to clients who are overburdened with other work and prefer à la carte assistance with specific aspects of the proposal process. Learn more about our Bid Manager services here or schedule a free consultation with one of our bid experts. We break down how outsourcing can benefit your company in "Hiring an RFP Writer, Is It Worth It?"
We will not respond to RFPs that were issued by another client as part of our Bid Builder service. When two firms request Bid Manager assistance with competing submissions for the same solicitation, we work on a first-come, first-served basis. Schedule a free consultation with us to discuss the details of how we can assist you with your bid!
Absolutely. The Bid Lab specializes in working with small and medium-sized businesses, so many of our clients are completing their first RFPs with us! We'll walk you through the process from start to finish, guiding you every step of the way. No RFP in hand? No sweat. We also offer subscriptions to Bid Banana, our user-friendly in-house RFP search engine. In addition, our human Bid Finder experts can also recommend opportunities that you are best placed to win!
When you're completing RFPs, there is much more to it than creating content and designing a proposal. A client company’s financial status, references, reputation, history, age, and even designation status (such as a veteran-owned business) greatly affect the outcome of a bid.
At The Bid Lab, we’re all about transparency. Helping small and medium-sized businesses bid on millions of dollars' worth of opportunities means that we can’t win them all! But it does mean that we put our best foot forward every single time. Win or lose, you'll enjoy the project's deliverables for years to come. These deliverables include an organized library of materials, a professionally written and designed bid template, and up-to-date guidance on navigating the complex RFP process.

The Bid Lab is a remote-by-design company. With team members located across the continental US, we serve our clients by collaborating across time zones, enabling us to effectively handle any job without setting foot in your office. That said, The Bid Lab does provide in-person resources on a case-by-case basis, depending upon project size and location. Please contact us at 1-844-424-3522 for more information.
Yes, 100%. One of the many value-adds of working with The Bid Lab is that even after submission, we will be the organized content guru you never had! All documentation we create on your behalf is accessible to your team for future RFP and non-RFP use.
As Bid Managers and Bid Builders, we aim to do as much of the work for you as humanly possible. This includes everything from finding the perfect bid to match your business strategy to writing a fully compliant and compelling response, and everything in between (and after!).
That said, RFPs, by nature, require very specific information about that project. Sometimes they even request confidential financial information that only your internal team has access to. So, in short, yes, as Subject Matter Experts (SMEs) in your industry and of your company, RFPs will require your input and expertise. But working with Bid Managers at The Bid Lab will ensure that any input required from you is as minimal and as organized as possible.
And with each successive bid, our account and project managers learn more about your business, which means we can build a design and content database to store responses from your team, minimizing the amount of input needed over time.
Definitely! The Bid Lab will take any existing collateral you have and repurpose it for the RFP in scope. In fact, after your first bid, our bid management team will leverage that first RFP response for subsequent bids to streamline our process. This reduces the overall time required to respond to each RFP. For many of our clients, an initial RFP took nearly 40 hours, whereas subsequent bids now take fewer than 30 hours.
The caveat is that to write winning bids, responses must address the client and their project’s scope directly. So, while your existing marketing content is great for filling in many of the blanks, it is not a replacement for original RFP content. The Bid Lab takes the time to ensure individual responses address every issue and requirement outlined in the solicitation's questions and scope of work.
Our team of Bid Finders use Bid Banana, our in-house, proprietary RFP database, to scour industry, state, and local opportunities that may benefit our clients. We use human intelligence to first identify a client’s unique parameters, then adjust our cutting-edge, custom-developed search filters and tools to meet each client's current needs.
Our goal is to present only the highest-quality, up-to-date, available opportunities. To do this, our experts identify the best matches based on your bid responses and Bid Finder profile. Did we mention that three months of our Bid Finder and Bid Banana services are complimentary to Bid Manager clients upon submitting a bid with us?! Winning!
Yes, and a lucrative one! As a thank-you for referring us, both the referrer and referred parties will receive a free hour of work credit. Cha-ching! For more information, please email us at respond@thebidlab.com.
