The Challenge
Verbal Expressions, Inc. is a Georgia-based company that offers a wide range of speech therapy services designed to address various communication disorders and difficulties. Founded and run by seasoned industry professionals, they knew how to recognize a promising opportunity when it presented itself.
So, when a Texas school district issued a request for special education services for students with medical needs, Verbal Expressions knew they needed to respond. The school district wanted to create an annual contract with bidders to supply qualified staff. Desired staff members included speech pathologists, special education teachers, and school psychologists for their students. Staff members would be assigned specific schools as needed.
Verbal Expressions knew they were qualified to provide services to the district. Their enthusiastic recruiting team already had strong networking partnerships with universities, rehabilitation departments, and recruiting agencies. They also had the resources and experience necessary to connect the school districts with qualified professional candidates.
However, responding to the bid required a lot of work. To do so, they would need to submit multiple bid lines and fill in bid attributes through an out-of-state vendor portal.
The Solution
Although Verbal Expressions and The Bid Lab come from different industries, we share a drive to help others. So, our experts got to work.
After The Bid Lab analyzed the RFP requirements, we created a list of all required supporting documents we needed to submit. Mandated forms, certifications, licenses, registrations and policies? Done and done. As we worked with the client, we checked each required item off our list.
Meanwhile, our writers began outlining our response. Bid forms with response fields that have character limits can be daunting. Luckily, our writers at The Bid Lab love the challenge of condensing narrative responses to fit bid parameters. We always take a content-first approach to our first drafts. When the focus is on the length of the response, it becomes easier to accidentally overlook aspects of prompts that have yet to be addressed. Character limits should always be a problem for second drafts. Once we ensured we fully responded to each question, we then polished and edited our content to fit the mandated character requirements.
To streamline the submission process for the client, we pre-filled all the necessary bid lines prior to submission. We organized the information for physical therapists, occupational therapists, and speech therapists well in advance and were able to submit multiple bid lines in a short amount of time.
“We love the business relationship we have with The Bid Lab. Their team invested their time and energy into drafting a proposal that captured exactly how our services could provide the solutions the solicitor needed. Now that the solicitor is our new client. We’re thrilled to have secured the contract!”

The Results of the Engagement
Verbal Expressions was thrilled to learn they’d won their bid and secured a contract opportunity with the school district! After working through the RFP process with The Bid Lab, Verbal Expressions is also eager to continue submitting for new opportunities. We’ve since submitted more responses for other unique opportunities. With their organized, always-online content library full of supplemental materials, marketing copy, key information and history, and other ready-made response assets, they’re ready to quickly assess and respond to new opportunities.
The entire process, from our first stakeholder meeting to the date of final submission, took about three weeks. In less than a month, we helped Verbal Expressions develop a compelling and compliant proposal package. Our work also included content and design enhancements to help their submission stand out from their competitors.
We at The Bid Lab are as giddy about their success as they are. As Verbal Expressions continues to provide support to children in multiple states, our team is ready to submit another bid response at any time they need us.
